TEMPO Remote Music School (“TEMPO,” “we,” “us,” or “our”) operates the T.E.M.P.O. Music Learning Management System web application (the “App”) and the website at https://tempomusicschool.com (collectively, the “Service”). T.E.M.P.O. stands for Technology Enhanced Music Program Online. The App is designed to support remote private music instruction. The App is the centralized platform that connects Students, Teachers, Parents, and Administrators.
This Privacy Policy explains how we collect, use, disclose, and protect your information when you use the Service. By accessing or using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.

Information you provide directly:
- Account and profile information: name, email address, password, phone number, role (Super Administrator, Administrator, Teacher, Parent, or Student), date of birth, and profile photo.
- Student and family information: name, age/grade, instrument, learning goals, and progress data. Parents provide consent and link child accounts.
- Content and activity data: uploaded files (sheet music, recordings, PDFs, videos, images) via the Central File Manager; practice logs, lesson notes, messages, achievements, coins/points/gems, grades, and report cards.
- Payment and billing information: subscription and tuition details. We do not store full credit card numbers; payments are processed securely by third-party providers (e.g., Stripe, PayPal, or Square).
- Teacher payroll data: contractor payment preferences and percentage splits (processed securely via Cloud Functions).
Information collected automatically:
- Usage and device data: IP address, browser type, device identifiers, operating system, pages visited, time spent, and interactions with features such as the practice timer, music tools, and arcade games.
- Analytics and logs: Firebase and Google Cloud analytics data on app performance, lesson attendance, video conferencing usage, and gamification activity.
- Cookies and tracking technologies: essential cookies for authentication and functionality; limited analytics cookies for service improvement.
Children’s Information: We collect information from students under 13 only with verifiable parental consent in accordance with the Children’s Online Privacy Protection Act (COPPA).
2. How We Collect Information
We collect information directly from you during account creation, lesson scheduling, file uploads, messaging, or payments. We also collect data automatically through the App using Firebase services (Authentication, Firestore, Storage, and Hosting) and from third parties such as Google (sign-in) and payment processors.
3. How We Use Your Information
We use your information to:
- Provide and personalize the T.E.M.P.O. Service, including role-based dashboards, Teacher Pods, bi-weekly lesson scheduling, video conferencing, VoIP calling, digital sheet music viewing, practice logs, gamification (points, leaderboards, arcade, achievements), and report cards.
- Process monthly tuition billing and teacher payroll (percentage-based payments to 1099 contractors).
- Enable secure internal messaging, file sharing, and collaboration within Teacher Pods.
- Improve the App through analytics, bug fixes, and new music tools/exercises.
- Communicate with you about lessons, payments, updates, or support.
- Enforce security, prevent fraud, and comply with legal obligations.
4.
Communication Notifications (Email and SMS)
We may send you important service-related communications via email and/or SMS, including:
- User account notices (e.g., password resets, account verification, security alerts)
- Billing and payment reminders or failure notifications
- Lesson scheduling updates, including Teacher or Student cancellations and rescheduling
- App outages, maintenance windows, or service disruptions
- Other transactional or relationship messages necessary to provide the Service
These transactional communications are essential for the proper functioning of the T.E.M.P.O. platform. You cannot fully opt out of them while you maintain an active account, but you can manage certain preferences.
SMS Consent and Disclosure By enabling SMS notifications in your account settings and providing your mobile phone number, you consent to receive SMS messages from TEMPO Remote Music School. Message frequency varies. Message and data rates may apply.
How to manage SMS communications:
- Opt-Out: Reply STOP, QUIT, UNSUBSCRIBE, OPT-OUT, or CANCEL to any SMS message we send. We will process your request promptly (usually within 24–48 hours) and send a confirmation that you have been unsubscribed.
- Help / Assistance: Reply HELP to any SMS message for assistance, more information about our SMS program, or support with your notifications.
- In-App Settings: Most users can adjust SMS notification preferences directly in the T.E.M.P.O. App under Account → Settings → Notifications (or Email Privacy tab). You may enable or disable specific categories where possible.
- Email Opt-Out: Every non-essential marketing or promotional email includes an “Unsubscribe” link at the bottom.
- Parent Controls: Parents can manage notification settings for their child’s account through the Parent dashboard.
Even if you opt out of certain communications, we may still contact you for critical legal, safety, or service-related reasons (e.g., account suspension, billing disputes, or required legal notices). We do not send promotional or marketing messages without appropriate consent and always provide easy ways to opt out.
5. How We Share or Disclose Information
We do not sell your personal information. We share data only as described below:
- Within the Service: Role-based access control (RBAC) using Firebase Auth custom claims ensures Teachers see only their assigned Teacher Pod (students/parents/families). Parents see their child’s data. Students see only their own learning content.
- Service Providers: Firebase (Firestore, Auth, Storage, Cloud Functions, Hosting), Google Cloud, payment processors (Stripe/PayPal/Square), email/SMS providers, video-conferencing providers, and analytics tools. These providers are contractually required to protect your data.
- Legal and Safety Reasons: When required by law, to protect rights or safety, or in response to valid legal requests.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred with appropriate protections.
6. Data Security
We implement industry-standard security measures, including Firebase Security Rules, role-based custom claims in Firebase Authentication, encryption in transit and at rest, and secure Cloud Functions for sensitive operations (billing and payroll calculations). Teachers and users are responsible for keeping their own equipment and credentials secure. While we strive to protect your information, no system is 100% secure. We encourage the use of strong, unique passwords and prompt reporting of any suspected security issues.
7. Data Retention
We retain your information only as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Practice logs, achievements, and purchased digital assets (My Chest) are retained for the life of the account unless you request deletion. Billing and payroll records are kept for tax and accounting purposes (typically 7 years). You may request deletion of your account and associated data at any time, subject to legal retention requirements.
8. Children’s Privacy (COPPA)
For students under 13, we require verifiable parental consent before collecting, using, or disclosing personal information. Parents can review, delete, or manage their child’s data and communication preferences through the Parent dashboard. We do not condition a child’s participation on the collection of unnecessary personal information. If we discover we have collected data from a child under 13 without consent, we will delete it promptly.
9. Your Rights and Choices
Depending on your location, you may have rights to access, correct, delete, or port your personal information. You can also manage your communication preferences as described in Section 4. To exercise these rights, contact us using the information below or manage many settings directly in the App (Account → Settings).
10. Cookies and Tracking
We use essential cookies for login, session management, and core features (e.g., calendar, music tools, video conferencing). You can manage cookie preferences through your browser settings. We use limited analytics cookies to understand usage and improve the student experience.
11. Third-Party Links and Services
The Service may contain links to or embed content from third-party sites (e.g., YouTube for video embeds). We are not responsible for the privacy practices of those third parties. Please review their policies.
12. International Data Transfers
The Service is hosted on Firebase App Hosting and Google Cloud services in the United States. If you are located outside the U.S., your data is transferred to and processed in the U.S. We use appropriate safeguards (such as standard contractual clauses) where required by law.
13. Changes to This Privacy Policy
We may update this Policy from time to time. We will notify you of material changes by posting the new Policy on the website and updating the “Last Updated” date. Your continued use of the Service after any changes constitutes acceptance of the revised Policy.
